BHPE Desk Email Policy

Applies to every Desk Account — a mailbox on BHPE’s corporate domain (name@bh.pe) issued to an active Residency participant (“Resident”) or BHPE Associate. Referenced by the Enrollment Agreement (Section 7) and the Associate Agreement (Section 2). BHR LLC and BHPE LLC are separate companies; the Desk Account is BHPE infrastructure made available for desk work.

1. Issuance. BHPE issues one Desk Account per active Resident at cohort start and per Associate at signing, delivered with an issuance letter (Appendix A). The account, its address, and everything sent or received through it are BHPE property, licensed for desk work only — no personal use, no other business.

2. What the account authorizes. The issuance letter is the standing written approval required by Enrollment Agreement Section 7 and Associate Agreement Section 2 — for exactly one activity: contacting vendors, suppliers, distributors, and prospective subcontractors from the Desk Account to request pricing, availability, lead times, specifications, and quote documentation for opportunities claimed or assigned at the desk. Nothing else. Vendor mail identifies the buyer, never the buy: no solicitation numbers, agency names, or other end-customer identifiers in any vendor communication. Request commercial pricing to a destination, state compliance requirements generically (for example, TAA country-of-origin certification), and leave award details with the desk.

3. What it never authorizes. From any account, including the Desk Account: no purchase orders; no accepting vendor terms; no commitments of any kind on BHPE’s or BHR’s behalf; and no contact with any agency, contracting officer, or government official. Government contact and every binding document — purchase orders, teaming agreements, customer submissions — issue only from BHPE principals. Holders will not present themselves as a BHPE employee or officer.

4. Signature discipline. Outbound mail carries the desk-set signature block — name, “Sourcing Desk, BHPE LLC,” and bh.pe — with no other titles. Pricing requests come from the desk; orders come from principals.

5. Security and handling. Two-factor authentication stays on. No auto-forwarding and no rules that move mail off the domain. Solicitation documents, vendor quotes, and pricing stay in desk systems, per the confidentiality terms of the underlying agreement.

6. Suspension and records. The Desk Account is suspended when the holder’s underlying agreement ends — completion, withdrawal, removal, or termination — or earlier on material violation. Contents remain BHPE business records; vendor relationships built through the desk remain subject to the Associate Agreement’s non-circumvention terms.

7. Violations. Misuse is a conduct violation under the underlying agreement (Enrollment Agreement Section 7; Associate Agreement Sections 2 and 5), with that agreement’s consequences.

Appendix A — form of issuance letter.
